Administrative Assistant - Port Charlotte Office

JOB DESCRIPTION:

Administrative Assistant will work directly with the Owner, Office Manager, Project Manager and field staff. Basic duties will include managing telephone lines, maintaining calendars including scheduling meetings and appointments, data entry and other general office responsibilities.

Responsibilities

Maintaining project control logs (both electronic and paper format); project documentation, daily reports, material purchase orders, equipment rental, EEO and utilization, vendor insurance, and other graphs, charts and spreadsheets in Excel. Assistance with composition of Project Submittals, shop drawings, plan revisions and project close-out binders. Assistance with project invoicing; logging, tracking and internal distribution, matching invoices to delivery tickets, verification of amounts, coding and updating of vendor contract files.

Requirements:

  • High school diploma or GED.

  • Minimum of 5 years prior experience in an administrative assistant role.

  • Strong Proficiency in Microsoft Office Applications: Word, Outlook, Excel and PowerPoint.
